Withdrawal from, discontinuation of, or inability to sit an examination
Withdrawal from an examination
You may withdraw from an examination without giving a reason – generally no later than 7 days before the examination date (Section 15(6) RPO).
The easiest way to do this is via HISinONE, or alternatively in writing.
Example: If your exam is on Friday, you can withdraw by midnight on the Thursday of the previous week.
Important:
- Withdrawal does not count as an exam attempt
- If the online withdrawal does not work, contact the Examination Service immediately
- You cannot withdraw if you are required to sit the exam under Section 15(9) of the RPO
Failure to attend or withdrawal
Once the withdrawal deadline has passed, the following applies:
If you fail to attend without a valid reason, withdraw from the examination or fail to submit your work on time, the examination will be marked as 5.0 (fail) (Section 13(1) RPO).
If you are admitted but can no longer withdraw within the deadline, withdrawal is only possible for a valid reason.
If you are unable to attend for a valid reason (e.g. illness), you must report this immediately and provide evidence (§ 13(2) RPO).
What ‘immediately’ means for you
- Notify the Examination Service on the day of the examination (by email, telephone or in person)
- Obtain proof on the same day (e.g. a medical certificate stating that you are unfit to sit the exam)
- Submit the original proof immediately (no scans by email)
Important: You are personally responsible for ensuring that everything arrives on time. Late evidence cannot be accepted.
If you have already started an exam and have to stop, also inform the invigilator and have the interruption documented.
Medical certificates
- Certificates must be submitted in the original
It must be a certificate of inability to sit an exam; a certificate of incapacity for work is not sufficient
- Certificates in a foreign language require a certified translation
- In cases of doubt, a certificate from a medical examiner may be required (Section 13(2) sentences 2–3 RPO)
Special case: sick child
If your child is ill:
In this case, you must still contact the Examination Service on the day of the examination
- Submit the relevant form
- Medical certificate (paediatrician)
- Confirm that you had to take care of your child
The same applies here: submit everything immediately.
Special case: online exam
In the event of technical problems:
- Report the fault immediately during the exam
Depending on the situation:
- the time allowed for the exam be extended
- or the examination may be terminated (without marking) (Section 20a(7) RPO)
Once the withdrawal deadline has passed, the following applies:
if you fail to attend without a valid reason, withdraw from the examination or fail to submit your paper by the deadline, the examination will be marked as 5.0 (fail) (Section 13(1) RPO).
If you have been admitted but are no longer able to withdraw within the deadline, you may only withdraw on valid grounds.
If you are unable to attend for a valid reason (e.g. illness), you must report this immediately and provide evidence (§ 13(2) RPO).
What ‘without delay’ means for you
- Notify the Examination Services on the day of the examination (by email, telephone or in person)
- Obtain supporting evidence on the same day (e.g. a doctor’s certificate confirming your inability to sit the examination)
- Submit the original proof immediately (no scanned copies by email)
Important: You are personally responsible for ensuring that everything arrives on time. Late evidence cannot be taken into account.
If you have already started an examination and have to stop, you must also inform the invigilator and have the interruption documented.
- Original medical certificates must be submitted (in the deadline postbox at Building 4 or by post – usually on the day of the examination)
It must be a certificate of inability to sit the examination; a certificate of incapacity for work is not sufficient
- Certificates in a foreign language require a certified translation
- In cases of doubt, a certificate from a medical examiner may be required (Section 13(2), sentences 2–3 of the RPO)
Work placements and semesters abroad
You may be admitted to a work placement or study abroad semester if the following requirements are met:
- You have earned the required credits before the start of the work placement or study abroad semester.
- You will be supervised by a lecturer during the semester.
- You have found a suitable placement or host university.
You are responsible for finding the work placement yourself. There is no entitlement to be allocated a work placement.
The supervising professor will decide whether the work placement is suitable.
It is recommended that you approach lecturers at an early stage to arrange supervision.
Once you have met all the requirements and found a placement or a host university, you can register for your placement or study abroad semester.
You submit your application for admission to the work placement or study abroad semester online.
