Withdrawal from, discontinuation of, and inability to sit an examination
You can withdraw from an examination without giving a reason – generally no later than 7 days before the examination date (Section 15(6) RPO).
The easiest way to do this is via HISinONE; alternatively, you can do so in writing.
Example: If your exam is on a Friday, you can withdraw by midnight on the Thursday of the previous week.
Important:
- Withdrawing from an exam does not count as an exam attempt
- If the online withdrawal process does not work, contact the Examination Service immediately
- You cannot withdraw if you are compulsorily admitted to the examination in accordance with Section 15(9) of the RPO
Application for admission or subsequent withdrawal from an exam
Once the withdrawal deadline has passed, the following applies:
if you fail to attend without a valid reason, withdraw from the examination or fail to submit your paper by the deadline, the examination will be marked as 5.0 (fail) (Section 13(1) RPO).
If you have been admitted but are no longer able to withdraw within the deadline, you may only withdraw on grounds of good cause.
If you are unable to attend for a valid reason (e.g. illness), you must report this immediately and provide evidence (§ 13(2) RPO).
What ‘without delay’ means for you
- Notify the Examination Service on the day of the examination (by email, telephone or in person)
- Obtain supporting evidence on the same day (e.g. a doctor’s certificate confirming you are unfit to sit the examination)
- Submit the original proof immediately (no scanned copies by email)
Important: You are personally responsible for ensuring that everything arrives on time. Late evidence cannot be taken into account.
If you have already started an exam and have to stop, you must also inform the invigilator and have the interruption documented.
- Original medical certificates must be submitted (via the deadline postbox at Building 4 or by post – usually on the day of the examination)
It must be a certificate of incapacity to sit the examination; a certificate of incapacity for work is not sufficient
- Certificates in foreign languages require a certified translation
- In cases of doubt, a certificate from a medical examiner may be required (Section 13(2), sentences 2–3 of the RPO)
Work placements and semesters abroad
You may be admitted to a work placement or study abroad semester if the following requirements are met:
- You have earned the required credits before the start of the practical or study abroad semester.
- You will be supervised by a lecturer during the semester.
- You have found a suitable work placement or host university.
You are responsible for finding the work placement yourself. There is no entitlement to be allocated a work placement.
The supervising professor will decide whether the work placement is suitable.
It is recommended that you approach lecturers at an early stage to arrange supervision.
Once you have met all the requirements and found a placement or a host university, you can register for your placement or study abroad semester.
You submit your application for admission to the work placement or study abroad semester online.
Final dissertation
Registration takes place online via SharePoint
Please note: Before submitting your application via SharePoint, check with your primary supervisor to avoid any back-and-forth. When submitting your application, you must already specify your supervisors and the topic of your thesis.
The time allowed for writing a final dissertation is set out in the Framework Examination Regulations and, where applicable, the relevant examination regulations.
Example: A Bachelor’s dissertation in a full-time undergraduate programme has a time limit of three months.
An extension of up to four weeks may only be granted upon a justified application to the chair of the examination board – illness or an inability to sit the examination due to illness do not constitute valid grounds (Section 188 of the German Civil Code (BGB)). In such cases, the only option is to withdraw from the examination.
You submit your application directly via SharePoint. Your first examiner will comment on it before the chair of the examination board makes a decision.
Your thesis must be submitted in full and by the deadline (Section 188 of the German Civil Code (BGB)) – in two printed copies to the Examination Service and electronically (PDF) via SharePoint
To meet the deadline, either the electronic version or the printed copies are sufficient. The other format may be submitted at a later date. Submission is only considered complete once both are available in full.
For submission by post:
- The postmark must be dated no later than the final day of the submission deadline.
- Keep the proof of posting (date + signature).
Postal addresses:
- Rhein-Waal University of Applied Sciences, Examination Service (Building 20), Marie-Curie-Str. 1, 47533 Kleve
- Rhein-Waal University of Applied Sciences, Examination Service (Building 4), Friedrich-Heinrich-Allee 25, 47475 Kamp-Lintfort
If you are unable to hand in your thesis during opening hours, please place it in an envelope and post it in the deadline-compliant postbox outside Building 4.
Please note:
If the submission deadline falls on a Saturday, Sunday or public holiday, the deadline is extended to the next working day.
Don’t forget: each copy must contain an original, signed declaration of originality.
