Publishing More Visibly at HSRW – Principles for Stating Affiliations

Name of the university

For each publication, depending on the language of the publication, the full name of the university must be stated as follows:

Permanent identifiers

In addition to consistently standardising the spelling of the institution’s name, it is recommended that, wherever possible, a permanent identifier (PID) assigned to the institution be used. The ROR ID should always be given preference.

The use of these identifiers not only saves time in the publication workflow, but also ensures unambiguous assignment.

If there are affiliations with other institutions, Rhein-Waal University of Applied Sciences must be listed first if the majority of the research took place at Rhein-Waal University of Applied Sciences. This is also a prerequisite for the library at Rhein-Waal University of Applied Sciences to consider funding the publication costs.

Spelling of names

Incorrect identification of authors in literature databases – for example, due to variations in the spelling of names – often means that researchers are unable to correctly attribute all publications. Therefore, in academic publications, a consistent spelling of authors’ names should ideally be used. In this context, attention should be paid, for example, to the spelling of additional first names and double-barrelled surnames, as well as to the handling of name changes, umlauts and diacritical marks.

As misattributions of publications can still occur even when a name is consistently spelled in the same way, the use of identification systems such as ORCID, ResearcherID (Web of Science) or Scopus Author ID is also recommended. Even in cases of homonyms (for common names) or name changes, persistent personal identifiers enable the unambiguous attribution of all publications to a specific author.

Furthermore, they offer additional benefits. Search engines play a particularly important role in the dissemination of publications in a networked world. The use of a persistent identifier takes this into account, as it significantly improves the automated retrieval of publications and their metadata. Last but not least, ORCID profiles can be linked to other widely used identification systems, such as the Scopus ID.

Selecting an email address

When publishing, only your institutional email address must be provided. Email addresses at Rhein-Waal University of Applied Sciences end with the domain hochschule-rhein-waal.de or hsrw.eu.

Providing your institutional email address also makes it easier to attribute publications to the university. This is essential for publications covered by the existing consortium agreements in order to benefit from the reduced rates and to facilitate the assessment of eligibility for funding support.
